Waylance Business ("Waylance", "we", "us" and "our") is a Sydney-based vehicle hire business. We respect your privacy and are committed to handling personal information responsibly. This Privacy Policy explains the personal information we collect, how we use and disclose it, and how you can request access to or correction of it. We aim to handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

By making a booking enquiry, contacting us, entering into a rental agreement or otherwise giving us personal information, you acknowledge the practices described in this policy.

2. Information We Collect

We collect personal information reasonably necessary to provide vehicle hire services, including:

  • contact details, such as your full name, email address, phone number and residential address;
  • driver information, such as date of birth, driver licence number, licence territory, expiry date and class;
  • booking and rental details, such as pickup and return dates, times, locations, agreement reference and messages or special requests;
  • payment, bond, invoice and transaction details where relevant to a rental; and
  • information provided during the booking, agreement, vehicle handover or return process.

We collect driver information only where it is needed to assess driving eligibility, prepare a rental agreement, meet insurance obligations or provide the hire service.

3. How We Use Your Information

We may use personal information to:

  • respond to enquiries and manage booking requests;
  • assess driver eligibility and prepare, administer and enforce rental agreements;
  • process a confirmed rental, payments, bonds, refunds and related records;
  • communicate with you about a booking, agreement, payment, vehicle hire or service update;
  • meet legal, insurance, safety, regulatory and record-keeping obligations; and
  • maintain, secure and improve our services and website.

We do not use personal information for automated decisions that produce legal or similarly significant effects on you.

4. Booking Enquiries, Agreements and Communications

A booking request is not a confirmed rental. We use the details you provide to assess availability and communicate about the request. We do not add you to marketing communications merely because you make an enquiry or booking.

Where we use an electronic agreement service, we may provide the information needed to prepare and manage the agreement, including your name, contact details, licence details and rental details. We may use SignWell to send, administer and retain electronic rental agreements and signatures. SignWell's handling of personal information is also governed by its own privacy practices.

5. Disclosure to Third Parties

We do not sell or rent personal information. We may disclose information only where reasonably necessary to:

  • insurers, brokers or claims service providers for insurance, incident or claim purposes;
  • payment providers to process payments, bonds, refunds or transactions;
  • electronic agreement providers, including SignWell, when preparing or administering a rental agreement;
  • technology and hosting providers that help operate our website, booking system and records;
  • professional advisers, such as accountants and lawyers, subject to confidentiality obligations; and
  • government authorities, law enforcement or other parties where required or authorised by law.

Some service providers may process or store information outside Australia. Where this occurs, we take reasonable steps to select providers and arrangements that are appropriate for the information involved.

6. Data Security and Retention

We take reasonable technical and organisational measures to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These measures include limiting access to authorised people and using secure service providers for relevant systems.

No method of transmission or storage is completely secure. We retain personal information only for as long as reasonably necessary for the purposes in this policy, or where required for legal, tax, insurance, dispute-resolution or record-keeping obligations. We may de-identify or securely delete information when it is no longer required.

Our website may use cookies or similar technologies that are necessary for the site to operate correctly, such as remembering interface preferences. We do not currently use third-party advertising or tracking cookies. If this changes, we will update this policy.
